Purging data from the data source
Worklabs lets you remove data from a connected source system by setting purge rules. Purging from the source can ensure that outdated, unnecessary or sensitive information is securely disposed of, thereby reducing the risk of unauthorized access, compliance violations, or data breaches. The length of a purge period may vary depending on factors such as regulatory obligations, organizational policies, and the nature of the data being managed.
By default, data purging is not enabled, and all data in the source system will be kept indefinitely. To create purge rules, it first must be enabled. Once enabled, you can configure your purge rules as required.
❗️Purging permanently deletes the data from the source system. Please review your purge rules carefully before enabling.
Purge Periods
A purge period refers to a specific duration during which data are systematically removed from the source system.
The purge period can be set for each data type separately, allowing you to set shorter or longer purge periods as needed. For example, you could set a purge period for group posts to 120 days, and chat messages to 30 days. After content in the source reaches the number of days set in the purge period, it will be systematically removed from the source.
Enable Data Purging
To enable data purging, click on the dropdown menu under your name in the upper-right corner of Worklabs and select 'Settings.'
From the settings page, click on 'Data sources' from the left-hand menu. Here you will see all of your connected data sources.
For the data source you want to set purge rules for, click the three-dot menu on the right-hand side and select 'Advanced settings'
Here you will see the option to enable purging. To enable, select 'Enable data purging'
Once enabled, you can set your purge rules per individual data type. The default rules are set to never purge data. To set a rule:
Click the three-dot menu for the data type and select 'Edit'.
Click the radio button to 'Override the default data purge rule of never'
Enter the number of days to purge after and save
❗️The purging period cannot exceed the data retention period.
When data retention rules are set, you must set the purging period to less than or equal the retention period.
